Privacy Policy

Any personal data provided by you to Pure Insights through any means (verbal, written, in electronic form, or by your use of our website) will be held and processed in accordance with the data protection principles set out in the General Data Protection Regulation 2018 for the purposes for which you have given consent, to provide the services offered to you, and to meet the legitimate interests of the organisation.

Introduction

Pure Insights is committed to protecting your privacy. Please read the following in order to learn more about Pure Insights privacy policy and our information collection and use practices.

This policy only applies to data collected by Pure Insights staff, and via our own forms and website. If you have any queries concerning your personal information or any questions on our use of the information, please contact us via info@pureinsights.com.au.

When you start employment counselling with us you will be asked to consent to our processing of your data under the terms of this policy.

What information do we collect?

  • Contact information – If you complete our contact us form on our website it will just ask you for your name and contact details so we can reply to your message.
  • Counselling Referrals– Depending on the contract you may have self-referred or been referred to us by your Work Coach, Employment Advisor or Case Manager. Our referrals process involves providing us with your name, telephone numbers and email address. We may also request information on your availability, therapeutic issues, and other details which we deem relevant to processing the referral.
  • Initial Assessment Appointments– At an initial appointment we ask about your current personal, social, medical and employment circumstances.  We may also ask about your background and family history, as well as the issues which are affecting you now. We require this information so that we can decide about our offer of counselling to you, to assign you to a counsellor, and to manage the service we provide to you.
  • Counselling sessions – After each counsellor sessions we upload notes to our secure online portal as a record of the session. These notes will include a brief summary of your identified barriers to employment, counselling interventions provided in the session, any recommendations for ongoing support and employment goals and actions. Depending on the nature of the contract these notes may be shared with the referring party.
  • Action plans– During our sessions we will work with you to complete an Wellbeing or Employment Action Plan. In this plan we will identify your goals, your barriers to achieving those goals and the actions you would like to take to overcome these barriers. This is something with your consent we will share with your referring Work Coach, Employment Advisor or Case Manager so they can continue to support you with reaching your goals.

Cookies

Our website may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with our website, including tracking your interaction with any embedded content. We use Google Analytics and various cookies will be added to your browser to allow us to track interactions with our website for performance and optimisation purposes.

If you submit personal information through our website contact forms or email us directly, you are giving permission for us to store that data in order to respond to your enquiry.

What do we use your information for?

We use information held about you in the following ways:

  • To provide clients with the professional counselling service requested from us.
  • To offer suitable counselling appointments, and to allocate clients and counsellors for counselling.
  • To notify you about changes to your appointments and other changes to our services.
  • To seek feedback from you on your experience of counselling with us.
  • To improve our service to ensure that it is provided in the most effective manner for you and for us.
  • To administer our service, including the arrangement of appointments, and for financial control, data analysis, research, statistical and survey purposes.
  • To keep in touch with those who consent to this, for the purposes of organisational, service and professional development.
  • To fulfil our administrative, legal and contractual obligations as an employer.

What information do we share?

We will not share any information about you with other organisations or people, except in the following situations:

  • Consent– Pure Insights  may share your information with professionals or others whom you have requested or agreed we should contact. We will ask you to sign a consent form before we contact the third party.
  • Remote Appointments – We share your contact details with Pure Insights counsellors who conduct appointments remotely, so that they can contact you with regard to those appointments.
  • Serious harm–  Pure Insights  may share your information with the relevant authorities if we have reason to believe that this may prevent serious harm being caused to you or another person.
  • Compliance with law– Pure Insights  may share your information where we are required to by law or by the regulations and other rules to which we are subject.
  • Supervision – All  Pure Insights  counsellors take part in regular supervision as part of their professional practice and supervision. No personal details are shared during this process.

How do we keep your information safe?

All information you provide to us is stored as securely as possible.  All paper forms and correspondence are kept in locked filing cabinets.  All electronic records are stored securely on an online portal and cloud server using the latest firewalls and data security protocols, and all access is by password-protected with two factor authentication, or by our IT service provider using secure cloud technology.

Unfortunately, the transmission of information via the internet is never completely secure. Although we will do our best to protect your information using industry-standard protocols and encryption, we cannot guarantee the security of your data transmitted to us via email, including forms completed on our website which are transmitted by email; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

Client notes and other documentation and personal contact details are destroyed/deleted after 7 years of no contact or updates.

Your rights

You have the right to ask us to provide a copy of the information held by us in our records. You also have the right to require us to correct any inaccuracies in your information. If you would like to do this, please contact us on info@pureinsights.com.au

You may withdraw your consent for us to hold and process your data at any time.  However, if you do this while actively receiving support from Pure Insights, your counselling would have to end.  You can withdraw your consent by emailing us on info@pureinsights.com.au.

Evaluation and Review

This policy is reviewed annually or as legislation or regulation require change.
